EMPLOYEE SELF-SERVICE

Make everyday work easier to complete.

Give employees a straightforward place for personal information, requests, attendance, leave, payslips and guided HR support.

IN FOCUS

One place for the requests that matter

Employee experience is shaped by the everyday moments: checking a payslip, requesting leave, updating information or finding the next policy step. Enfinity HCM brings these tasks into a personal workspace connected to the organization’s approvals and people records.

  • Personal attendance, leave and payslip access
  • Requests for leave, loans, learning and information updates
  • Assigned assets, expenses, travel and benefit-related journeys where configured

That keeps the experience familiar for employees while giving HR a clearer way to follow requests through the correct process.

IN FOCUS

Guidance without pretending to replace HR

The HCM employee chatbot can provide policy Q&A and guide employees toward supported requests when it is configured for the organization. It should not be treated as a final HR decision-maker, legal adviser or a source of confidential information beyond the user’s permissions.

  • Configured policy guidance
  • Permission-aware access
  • Clear human escalation for judgement calls

When a question needs judgement, the right outcome is a clear hand-off to HR or the relevant team.

IN FOCUS

A practical connection to the wider platform

Employee self-service belongs at the center of a connected HCM experience, not as a separate portal with disconnected information. It can connect people workflows with attendance, payroll and talent activity in the same product.

  • Connected HCM requests and approvals
  • Employee, manager and HR views
  • Contextual route to Enfinity Desk

For a broader employee support conversation, Enfinity Desk is a related product to explore. It has its own scope and implementation path.

IN FOCUS

Design self-service around the moments employees actually face

A good employee experience does not ask people to learn an HR system before they can complete a simple task. It gives them a clear starting point for the work they encounter: checking personal information, requesting leave, reviewing attendance, downloading a payslip, starting a learning request or asking where a policy applies. Enfinity HCM places those journeys alongside the employee information and approvals that support them.

  • Simple entry points for everyday employee tasks
  • Visibility for employees, managers and HR
  • Guidance with clear escalation to people
Read the operating detail

That clarity benefits managers and HR too. A structured request arrives with the information needed for a review, and the employee can see that the request is progressing rather than needing to follow up through informal channels. Organizations can configure their own forms, roles, supporting evidence and approval paths so the experience reflects their policies rather than a generic process.

The employee chatbot is a guidance surface where configured. It can help a user find an answer or start the right request, but it should hand off questions requiring policy interpretation, personal judgement or confidential support to the responsible human team. It does not replace HR, a manager or an approved decision workflow.

IN FOCUS

Make a request clear before it reaches a reviewer

Employees should not have to guess which form applies to a routine request. Enfinity HCM can offer a request catalogue that recognizes common intents such as leave, overtime, attendance regularization, a document request, profile update, expense claim, loan or resignation. The guidance helps the employee reach the relevant form and understand the information that may be needed, while a catch-all path remains available when no clear match applies.

  • Guided request paths for common people operations
  • Profile-sourced prefill with reviewable values
  • A configured workflow rather than automatic approval
Read the operating detail

Some fields can be prefilled from the employee’s own approved profile, with the source of each value visible rather than silently guessed. This reduces repetitive entry without turning a past record into an unreviewed new instruction. The employee can review the information and the organization decides which requests, forms and required fields are enabled.

A structured start does not guarantee approval. It gives the reviewer a more useful submission, keeps the request associated with the right employee and ensures that the organization’s configured workflow can handle the next decision.

IN FOCUS

Give employees a transparent view of their own work

A self-service experience is more credible when employees can see the information and requests that concern them without having to ask HR for a status update. Enfinity HCM provides a self-scoped view of submitted requests and relevant manager- or HR-initiated activity that names the employee as the subject. The employee identity is resolved on the server rather than accepted from the browser, helping maintain the boundary between personal access and a wider HR view.

  • Server-scoped personal requests and records
  • Mobile quick actions, status and employee information
  • Read-only payroll access for the employee mobile journey
Read the operating detail

On mobile, configured journeys can bring together today’s hours, leave balances, quick actions, personal requests, announcements, celebrations and role-appropriate reports. Payroll access is intentionally read-only in the employee mobile experience; operating a payroll remains a back-office responsibility. This is a practical example of designing for access without widening authority.

The appropriate mobile and web scope should be agreed during implementation. Organizations can decide which modules, widgets and workflows make sense for each employee group, while avoiding an assumption that every administrative function belongs on an employee’s phone.

IN FOCUS

Use AI guidance with an honest availability and action boundary

Where the organization configures an AI provider, the employee assistant can answer questions using permitted employee context and configured policy information. Policy answers are grounded in a limited knowledge base and should defer to the organization’s own handbook when a question requires an authoritative interpretation. If an AI provider is not configured, the product does not present a fabricated answer as intelligent assistance.

  • Grounded assistance when a provider is configured
  • Clear fallback rather than invented AI output
  • Confirm-before-action and human-owned decisions
Read the operating detail

The assistant can suggest a next step, such as beginning a leave request, but it does not change a record or decide an outcome. In a narrow manager scenario, it can propose an unambiguous pending leave action; a separate confirmation step validates that the item is still active before the same underlying approval workflow is called. Unsupported action types are refused rather than improvised.

This design makes the division of responsibility visible. AI can help locate information, summarize permitted context or suggest a route. Employees, managers and HR retain authority for decisions, and the organization retains responsibility for policy, access and sensitive conversations.

IN FOCUS

Keep support cases human, accountable and private

Not every employee question should become a chat answer or an informal message. Enfinity HCM can support a helpdesk-style case journey with a category, priority, owner, service target and visible lifecycle. An employee can raise and follow their own case, while the responsible team can assign, request information, resolve, reopen or close it according to the organization’s service process.

  • A traceable employee support lifecycle
  • Configured service expectations and clear ownership
  • Private internal notes and explicit human escalation
Read the operating detail

Service targets can reflect configured priority and category. A payroll, grievance or access question may need a different internal response expectation from a general request, while time awaiting employee information can be handled distinctly in the case lifecycle. These settings support a more disciplined service experience; they do not guarantee a particular response time or outcome.

Internal notes are separated from the employee-facing view so a support agent’s private working context is not exposed to the person who raised the case. When a human escalation is needed, it is an explicit action. Any case-scoped AI assistance remains within that case context and cannot escalate or close the case by itself.

Bring regional employee needs into everyday self-service

For organizations operating in Kuwait, the UAE and across the GCC, employees often need a clear way to understand document and policy-related journeys without being sent between different departments. Enfinity HCM can present policy guidance covering topics such as leave, attendance, payroll, probation, expenses, remote work and document renewals, with the organization’s handbook remaining the source for its own policy interpretation.

  • Policy and document guidance shaped for local operating context
  • Self-scoped document-expiry visibility where enabled
  • Country-aware requests without external-submission claims
Read the operating detail

A self-scoped mobile view can surface the employee’s own government-relations or document-expiry context where that capability is enabled. It is deliberately separate from a manager’s company-wide view. Employees can see what applies to them, while authorized HR teams retain the broader operational record and the responsibility for any review, renewal or external activity.

Country-pack-gated tax-document and correction-request journeys can be made available where applicable. Availability, eligibility, document content and statutory treatment remain controlled by the organization’s configuration and professional review. The page does not claim that a self-service request creates, submits or obtains acceptance of an external document.

BUYER QUESTIONS
