ITEMS & STOCK

Know exactly what you have, where it sits, and what it really cost — down to the bin.

Enfinity ERP's Inventory module runs item masters, warehouses, batches, serials and stock counts as one connected ledger, not a spreadsheet reconciled after the fact. Every movement is costed, every count carries a reason, and stock value always agrees with the general ledger.

Growing SMBs typically run stock in a spreadsheet or a disconnected point-of-sale export, so nobody can answer three basic questions with confidence: what is on hand right now, what did this batch actually cost once freight and duty landed, and does the stock value on the books match what a physical count finds. Expiring stock ships late, reorders happen by gut feel, and every month-end closes with a manual reconciliation exercise instead of a control that already agrees.

How it works
  1. Set up items and warehouses

Build the item master with categories, units of measure, conversions, packaging and barcodes, then lay out warehouses into zones and bin locations so every item has a real, findable home.

  2. Receive and track

Goods arrive against a purchase order and land in the ledger at their true cost, including any landed cost allocation; batches, lots and serials are captured at the point of receipt so lineage is never reconstructed after the fact.

  3. Move, pick and reserve

Stock moves between bins and stores under a transfer policy, reservations hold quantity against confirmed sales orders, and first-expiry-first-out maths drives picking orders so ageing stock leaves first.

  4. Count and adjust

Cycle counts run against a named counting policy, every variance is compared to the system quantity, and every adjustment carries a reason code — nothing moves off the books without a documented why.

  5. Value and reconcile

Stock is valued under a selected valuation method with cost recalculation as movements post, and inventory-to-GL reconciliation proves the balance sheet figure agrees with the stock ledger, not just assumes it.

Capabilities

Item master with categories, UoM and barcodes

One item master carries categories, groups, units of measure with conversion, packaging types and barcodes, so a single item can be bought in cartons, stocked in units, and sold in mixed packs without a second record.

Variants, bills of material and assembly

Items branch into size and colour variants with their own dimension-based barcodes, and a bill of materials drives assembly and disassembly transactions for items your business builds rather than buys as-is.

Warehouses, zones and bin locations

Warehouses are structured into zones and named bin locations, not a single flat stock figure, so a picker or auditor can walk straight to the physical spot a quantity is recorded against.

Stock balance, movements and a full ledger

Every quantity change is a ledgered stock movement, not an overwritten balance field, giving a complete stock ledger that can be replayed and audited item by item, warehouse by warehouse.

Batch, lot and serial tracking with FEFO picking

Batch and lot numbers, and full serial-unit lifecycles, are tracked from receipt to issue, and first-expiry-first-out maths drives picking orders so perishable or dated stock is never left to expire on the shelf.

Counting, requisitions, adjustments and transfers

Cycle counts run under a counting policy, material requisitions and returns route stock between departments, and stock adjustments and store transfers carry named reason codes and a transfer policy so every movement is explainable.

Stock reservation against sales orders

Confirmed sales orders reserve quantity against on-hand stock, so what a salesperson promises a customer is quantity the warehouse has actually set aside, not a number that another order can also claim.

Valuation and cost recalculation

Inventory is valued under a selectable valuation method with cost recalculated as movements post, and a dedicated valuation report gives finance the item-level detail behind the balance-sheet stock figure.

Per-warehouse replenishment and shrinkage policy

Stock-level, replenishment and shrinkage policies are set per item per warehouse, not one blanket rule, and an item-replacement suggestion helps a buyer swap a slow or discontinued item for its natural substitute.

Item query, history, ageing and turnover

Item query and item history trace exactly what happened to a line of stock, while ageing and turnover reporting flag slow-moving stock before it becomes a write-off waiting to happen.

Inventory-to-GL reconciliation

A standing reconciliation proves the inventory value in the general ledger agrees with the stock ledger, turning month-end from a manual chase into a control that either passes or flags a named variance.

AI. You decide.

AI-assisted reorder recommendation

Looking at on-hand, on-order, reorder point, safety stock, average daily demand and lead time together, the system proposes a recommended reorder quantity per item — and skips an item with no recorded lead time rather than guessing one, because a guessed lead time would defeat the whole point of a lead-time-aware trigger.

The recommended quantity is computed deterministically from these business figures first; the AI model only adds a plain-language explanation of why. The feature works fully with no AI provider configured, every recommendation is logged to the advisory ledger with an audit event, and the buyer alone decides whether to raise the purchase order — nothing is ordered automatically.

AI-assisted stock-count variance advisory

For a completed stock count, counted-versus-system quantities are re-examined, the variances judged material are re-flagged, and each is explained in plain language so a stock controller can triage a long count sheet in minutes instead of line by line.

Which variances are material is computed deterministically from the counted and system quantities first; the AI model only explains the flagged lines. It works with no AI provider configured, every advisory is logged to the advisory ledger with an audit event, and the stock controller alone decides whether to post the adjustment.

AI-assisted demand forecast

Each item's historical demand series is turned into a moving average, a trend per period and a horizon forecast, giving planners a data-backed starting point for purchase and production planning rather than a memory of last season.

The moving average, trend and forecast are computed deterministically from historical figures; the AI model only narrates what the numbers show. It runs with no AI provider configured, every forecast is logged to the advisory ledger with an audit event, and the planner alone decides what to plan against it.

AI-assisted line sanity check

Draft sales and purchase document lines are screened for quantity and price against the item's own trading history, catching a fat-fingered decimal or an off-market price before the document is ever confirmed.

The screening thresholds are computed deterministically from the item's own historical figures; the AI model only explains a flagged line in plain language. It works with no AI provider configured, every check is logged to the advisory ledger with an audit event, and the document owner alone decides whether to change or confirm the line.
Region-native

Landed cost available from the trading tiers

Freight, duty and other charges allocate across received lines so imported goods carry their true landed cost — kept available at the trading editions rather than reserved for the top tier, because a growing importing business needs accurate cost from day one.

India

HSN and SAC classification for India GST

The item master carries an HSN or SAC code for India's goods-and-services-tax classification, shown only where a country pack for India is in use and hidden entirely for jurisdictions that do not classify stock this way.

Saudi ArabiaUAEBahrainOmanQatarKuwait

Bilingual naming with right-to-left rendering

Item names and descriptions carry a second-language field rendered right-to-left, so an Arabic warehouse team and an English head office read the same item master in their own language without a parallel spreadsheet.

Multi-currency purchase pricing

Items carry supplier pricing in the supplier's own currency, so a business importing from more than one country prices and receives stock without converting every purchase price by hand.

Works with
  • Enfinity Retail

Canonical item records sync to Retail through the platform entity-sync pipeline, so a product created once in Inventory shows up correctly in point-of-sale without a second data entry.

  • Enfinity Restaurant

Item records also sync to Restaurant, keeping recipe ingredients and menu-linked stock items consistent with the same master used for warehouse and purchasing.

  • Enfinity Projects

Material requisitions and issues let a project draw stock against its own cost centre, so project costing reflects real material consumption rather than an end-of-job estimate.

The Enfinity platform
  • The AI gateway (zero-spend default)

Reorder recommendation, demand forecast and variance advisories all run through the same metered, budgeted AI gateway, so inventory teams get the same zero-spend default and advisory ledger as every other module.

  • Workflow & approvals

Stock adjustments, material requisitions and store transfers can route through the platform's shared approval workflow, so a write-off or an inter-branch transfer needs the sign-off your policy requires before it posts.

  • Reporting & personalization

Stock ledger, valuation, ageing and turnover all surface through the shared report builder, analytics and saved views, so a stock controller can build their own dashboard without waiting on a developer.

FAQ

We currently track stock in Excel — what does moving to Enfinity ERP actually change?

Every quantity change becomes a ledgered movement instead of an overwritten cell, so you get a real audit trail, a stock value that reconciles to the GL, and reporting that updates itself instead of a workbook someone has to maintain.

Can we track items by batch, lot and serial number at the same time?

Yes — batch and lot tracking and serial-unit tracking with a full lifecycle are both native, and first-expiry-first-out picking maths uses batch expiry to decide what leaves the warehouse first.

Do we need landed cost, or is that only for large importers?

Landed cost allocation is available from the trading editions, not held back for the top tier, because a growing SMB importing goods needs true cost per unit from its very first shipment, not once it reaches enterprise scale.

Which VAT countries does Inventory support today?

Saudi Arabia, the UAE, Bahrain and Oman are active VAT countries today. Kuwait and Qatar are ready to configure when each introduces VAT — Kuwait currently has no VAT regime, so we do not claim one. India is supported only as GST rate treatment and HSN/SAC classification on the item master, nothing beyond that.

Is AI required to use reorder recommendations or the forecast?

No. Every AI-assisted feature computes its result deterministically first and works fully with no AI provider configured; the model only adds an explanation when one is available, and a named role always decides the outcome.

Is stock visible on the customer or supplier portal?

Not in this release. Inventory is not exposed on the customer or supplier portal today — customers and suppliers see their own orders and documents, not warehouse stock positions.

Can we see stock on our phone in the warehouse?

Yes — the mobile app shows item detail with stock position, lets staff capture stock and document photos on the spot, and gives a reports-at-a-glance view of key stock figures without opening a laptop.

Does dropship — shipping direct from a supplier to our customer — work today?

Not yet. Backorder handling exists, but dropship — shipping directly from a supplier to a customer without the goods touching your warehouse — is not present today; we would rather tell you that plainly than have you discover it mid-implementation.
